The following points were agreed upon by the membership of the SUNY Registrar’s Association at the annual conference in June 2001. These points are based on the understanding that once a SUNY-GER is met at one SUNY institution it has been met at any SUNY institution and that a course may be used for a maximum of two areas (humanities excluded). The word “course” is used in this document for simplicity. It is understood that some requirements at some institutions will be met by a test score or proficiency exam and will be so recorded on the General Education Transcript Addendum.
- The General Education Transcript Addendum (GETA) must be cumulative. It will reflect resident courses meeting SUNY-GER, as well as transfer courses that meet SUNY-GER.
- The General Education Transcript Addendum will be mailed with the academic transcript and as such does not need to be printed on special paper and does not need a signature or college seal.
- If a General Education Transcript Addendum is not included with the official transcript, a faxed copy from one campus to the other is acceptable. A signed/sealed GETA sent separately is also acceptable. Requests for the GETA may be made by phone without the need for student signature as long as there is a student request for the official transcript on file.
- The General Education Transcript Addendum will not be accepted if delivered by a student in an unsealed envelope.
- There will be no fee associated with the General Education Transcript Addendum.
- Only course(s) used to fulfill SUNY-GER will be listed on the General Education Transcript Addendum. Colleges may not send their degree audits or advisement documents for the purpose of reporting SUNY-GER met.
- Only course(s) needed to fulfill SUNY-GER will be listed on the General Education Transcript Addendum. If a student takes several courses that meet one SUNY-GER and only one course is needed to satisfy that requirement, only one course will be reported on the GETA.
- Only course(s) passed will be listed on the General Education Transcript Addendum. Failed courses, courses with grades of incomplete, and courses in progress will not be listed.
- The General Education Transcript Addendum will be reported in one of three ways:
- Computer generated
- Word document
- Paper manual document
- All General Education Transcript Addendums will follow the same general format.
- All General Education Transcript Addendums must contain student social security number and matriculation date.
- All ten learning outcomes must be listed in the order specified:
- Mathematics
- Natural Sciences
- Social Sciences
- American History
- Western Civilization
- Other World Civilizations
- Humanities
- The Arts
- Foreign Language
- Basic Communication
- A “met” indicator must be present to the right or left of any category where SUNY-GER has been met. Acceptable indicators are:
- Yes
- Met
- OK
- X
- The course subject/number (e.g., BIOL 210) must be listed. In cases where exam scores meet a requirement, the exam should be so noted.
- It is recommended that course title be included but it is understood that software constraints may preclude this for some campuses.
- The following items are optional:
- Term taken
- Grade earned
- Credit hours
